Architecting a tailored real estate management system designed to streamline property listings, centralize lead routing, and automate client workflows for a specialized real estate agency in Istanbul. The objective was to replace fragmented communication channels with a single, unified operational hub.
01. The Strategic Challenge
The client was managing a high-value property portfolio across Istanbul’s competitive market using disjointed tools—spreadsheets, WhatsApp messages, and standalone email clients. This operational fragmentation led to several critical bottlenecks:
- Lead Leakage: High-net-worth inquiries (especially those seeking Turkish citizenship-by-investment) were falling through the cracks due to manual tracking.
- Data Desync: The public-facing website frequently displayed properties that were already sold or rented, damaging the brand’s credibility.
- Agent Inefficiency: Agents spent hours manually cross-referencing client requirements with available inventory instead of actually closing deals.
02. The Technical Solution
I designed and developed a bespoke “Mini-CRM” directly integrated into a high-speed property portal. Rather than forcing the client into a bloated, expensive SaaS product, I built a lightweight, tailored system that perfectly mapped to their specific daily operations.

- Custom Property Data Schema: Engineered a complex relational database structure using Advanced Custom Fields (ACF) to categorize properties by Istanbul districts, investment potential, and specific architectural amenities.
- Instant AJAX Filtering: Built a frictionless frontend search experience using JavaScript. Buyers can filter multi-million dollar portfolios in milliseconds without the page ever reloading.
- Centralized Lead Routing: Developed custom API endpoints to capture leads directly from the property pages and automatically assign them to the correct agent’s secure backend dashboard.
- Specialized Agent Workflows: Created specific permission roles and dashboards tailored to the team’s structure, allowing agents to track lead status, manage their own listings, and operate the business efficiently from their phones.
